Terms of Service

These are the terms that apply when you book tutoring with us — how scheduling and cancellations work, what you pay and when, and what happens if something goes wrong. We've tried to write them so you can actually read them.

1. The agreement

These terms apply when you book tutoring with X Tutoring, whether you book through our site, by email, or on a call. By booking a session you're agreeing to them on behalf of yourself and the student you're booking for.

We're a tutoring service operating in Southern Ontario. Our contact address is hello@xtutoring.ca, and that's the right place to send anything to do with these terms.

2. Who can book

Sessions are booked by a parent or legal guardian when the student is under 18. If you're 18 or older you can book for yourself.

We need the booking adult's name and contact details on file, and we'll communicate about scheduling, payment, and session notes with that adult rather than with the student.

3. Our role and our tutors

We recruit, screen, and match tutors, and we stay involved after the match — handling scheduling changes, covering sessions when a tutor is away, and sending you a written summary after each session.

Our tutors are independent contractors, not our employees. We're responsible for who we put in front of your child and for the service around the sessions. The tutor is responsible for how they run the session itself.

Every tutor has been assessed on their teaching before meeting a student. Any tutor who meets a student in person holds a current vulnerable sector police check, which we verify before the first in-person session. A tutor who does not hold a current check is assigned to online sessions only.

Each tutor's current screening status is shown on their profile and confirmed with you before a match is finalised. You may request to be matched only with a tutor who holds a completed check. A police record check reports what a police service held on the date it was issued; it is not a guarantee of past or future conduct, and we do not represent it as one.

Ontario College of Teachers registration numbers are available on request for the tutors who hold one.

4. Booking and scheduling

We'll agree a regular time with you and your tutor. Sessions run for the length booked, and a tutor who arrives late will still give you the full time where they can.

Online sessions run on Zoom or Google Meet. In-person sessions happen at your home, a library, or another public place agreed in advance. Tutors don't meet students anywhere that isn't agreed with the booking adult.

If you need to move a session, tell us as early as you can and we'll find another slot.

5. Cancellations and missed sessions

Cancel with at least 24 hours' notice and you're not charged. Inside 24 hours the session is charged in full, because your tutor has held that time and usually can't fill it.

If a student doesn't show up and we haven't heard from you, the session is charged.

If your tutor cancels, you're not charged, and we'll either cover the session with another tutor or reschedule it — your choice.

6. Rates and payment

Our rates are published on the site. You'll never be quoted a rate that isn't listed there, and we don't negotiate individually.

Payment is by e-transfer to hello@xtutoring.ca unless we've agreed otherwise. If you pay by credit card, the processing fee is added as a separate, disclosed line — we don't bury it in the hourly rate.

Invoices are due within the period stated on the invoice. If an invoice goes unpaid we may pause sessions until it's settled, and we'll tell you before we do.

There's no registration fee, and we don't charge for the intake call.

In-person travel. Each tutor covers a standard radius around where they're based, and within it the published rate is the whole cost. For a location beyond that radius we add a flat travel fee per session. You'll be told the exact amount before you book, and it appears as a separate line on every invoice rather than being folded into the hourly rate. Online sessions never carry it. If your tutor changes and the new tutor's radius differs, we'll tell you before the first session rather than adjusting the invoice afterward.

7. Packages, refunds and expiry

A package is a one-time purchase. Nothing renews automatically — when it's used up, you decide whether to buy another.

Your rate is locked in. If published rates rise later, your remaining sessions are honoured at the price you paid.

Unused sessions are refundable. If you stop partway through, we refund what's left at the regular per-session rate.

Packages carry a generous window: four sessions over two months, ten over five months, twenty over ten. You can pause without the clock running.

8. First session guarantee

If you're not happy with your first session, you don't pay for it. This applies whether you booked a single session or a package, and you don't need to explain why. Tell us within a week of that session.

9. Changing or replacing a tutor

If the fit isn't right, tell us and we'll switch at no cost. You don't owe us a reason.

When a tutor is unavailable for a stretch — a practicum, exams, illness — we'll offer cover so your child isn't dropped mid-term, and the original tutor picks back up on their return.

10. Conduct and safety

We expect courtesy in both directions. We'll end an arrangement, without refunding a session already delivered, if a tutor is treated abusively, and we'll remove a tutor immediately if a student or family is.

For in-person sessions we ask that an adult is present in the home or that the session takes place somewhere public.

If anything about a session concerns you, contact us directly at hello@xtutoring.ca rather than raising it with the tutor alone.

11. Working with tutors outside X Tutoring

For six months after your last session with a tutor through us, please don't engage that tutor privately for paid tutoring outside X Tutoring.

Finding, screening, and matching that tutor is the work you're paying us for, and this is what protects it. It applies only to tutors you met through us.

12. Session materials and notes

Worksheets, notes, and practice sets a tutor prepares are for your child's use. Please don't redistribute or resell them.

The written summary after each session is yours to keep. We retain a copy so a covering tutor can pick up where the last one left off — see our Privacy Policy for how long we hold it.

13. What we don't promise

We don't guarantee a grade, a percentage improvement, or admission to any program. Tutoring is one input among many, and anyone promising you a number is guessing.

What we do commit to is the service described here: a screened tutor matched to the course, sessions that run as booked, cover when a tutor is away, and a written note after every session.

14. Liability

We're responsible for providing the service described in these terms with reasonable care and skill. Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited under Ontario or Canadian law.

Beyond that, our liability in connection with the service is limited to the amount you paid us for the sessions the claim relates to.

15. Ending the arrangement

You can stop at any time. Tell us, and we'll refund any unused package sessions as described above.

We may end the arrangement if invoices go unpaid, if the conduct expectations above aren't met, or if we conclude we're not the right fit for your child — in which case we'll say so plainly and refund anything unused.

16. Changes to these terms

If we change these terms, we'll post the updated version here and change the date at the top. Material changes get an email to families with active bookings, and they don't apply retroactively to a package you've already bought.

17. Governing law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply in it. Disputes go to the courts of Ontario.

Nothing here removes rights you have under Ontario consumer protection law.
